

CLUBHOUSE PARTYROOM RENTAL
The townhomes have a 1000 sq.ft clubhouse with a party room for the residents to conduct parties and events with a max. capacity of 38 attendees. The facility has an open kitchen with oven, microwave and refrigerator. For the guests, we have seating arrangements comfortable enough to host approx. 30 nos.

TERMS AND CONDITIONS

The Party Room can ONLY be rented by an Owner/ registered Tenant (“Host”) at ENCLAVE BCS 4490 and the completed booking form should be received with at least ONE week to the event.

The start time of the event can be confirmed on the day of inspection, if undecided on the day of booking.

The “Full Day” Party Room hours are from 8:00 AM until 10:00 PM. If the event date has a weekend or Holiday the next morning, the Party Room is available until 11:00 PM.

The fee for renting the Party Room is $50.00 for up to “5 Hours” and $80.00 for “Full Day”.

Refundable damage deposit of $200.00 is required in advance or on the day of inspection by cash or cheque.

The Host can opt to pay by one of 3 ways (PAD is available to Owners only):

Cash given to the designated Council Member on or before the day of rental during inspection

Cheque payable to Strata Plan BCS4490 and mailed to Harbourside or hand over to a Council Member

Pre-Authorized Debit (PAD) from your Bank by giving authorization email to Harbourside

Due to City of Surrey Fire Regulations, maximum no. of attendees including host(s) at any time must not exceed THIRTY EIGHT (38).

Cooking is permitted inside the Party Room; however, appliances other than the ones provided in the Party Room, are NOT permitted for use.

There will be a pre-rental inspection done with a Council Member, and the Host would need to make notes of any damages or imperfections that they do not want to be held accountable for.

The event should be conducted inside the Party Room only and the Host, who rented the Party Room, MUST be present at all times during the event.

The guests are allowed inside the Clubhouse ONLY during the event times.

The Host will be fully responsible for the event as well as their guests and will be held fully liable for any excessive noise, music levels, inappropriate language and conduct within the complex.

Smoking is NOT permitted inside and within 3 meters of the Clubhouse area due to fire hazard.

The Host renting the club house should ensure that the guests should stay away from the Mail Box & bulletin board located in the patio area of the club house.

Parking is allowed in an available Visitor Parking stall with a valid visitor parking pass or in a legal designated parking place outside.

For Clubhouse bookings, two (2) Clubhouse Parking Passes will be provided as complimentary and ‘valid’ only for the day of the booking. Council will not be responsible for the availability of visitor parking stalls.

Pets are NOT allowed inside the Clubhouse, walkways around the building or Playground.

Alcohol is permitted only if a valid liquor permit has been obtained from the B.C. Liquor Board for the event and the same MUST be posted in a visible location inside the Party Room.

Decorations MUST NOT be attached to the walls, windows or doors of the room.

Candles or sparklers are NOT permitted in the Party Room, with the exception of basic birthday cake candles and in that event, should be disposed of safely and properly.

The Host MUST complete all cleanings required, garbage emptied and get the room inspected within ONE day.

In the event that there is a booking for the next day, the room MUST be cleaned and inspected on the same day as the rental.

Penalty will be applied by the Strata Council on any violations of the terms and conditions mentioned in this booking form and applied against the damage deposit.

If there are any damages or missing equipment from the room post-rental, the damage deposit will be deducted accordingly to replace or repair anything damaged or missing.

Should the damage deposit is insufficient to cover all of the damages and costs incurred; the strata corporation will seek full reimbursement of these costs from the Host.

For any non-payment of the restoration fee, Strata Council will file a lien against the Strata Lot of the Host who rented the Party Room and may suspend further use.

For booking request done by a Tenant, the Unit Owner should recommend and accept the responsibility for any outstanding payment by a written or email authorization.

PERSONS USING THIS FACILITY DO SO AT THEIR OWN RISK AND RELEASE AND INDEMNIFY THE STRATA CORPORATION AND AGENTS FROM ANY AND ALL CLAIMS ARISING FROM THE USE OF THE FACILITY.

Failure to comply with any of the above mentioned rules may result in suspension of use of the Party Room at the discretion of the Strata Council upon review as a whole.

The Strata Council may take a decision on any items not mentioned in this terms and conditions and for any variance required and requested for.
